A delegation is more than a passenger count. When arrivals are spread out, build the transport plan around actual flights and destinations.

For each subgroup, list flight, local date, announced terminal, travelers and destination. A single unstructured passenger list is hard to connect to planned vehicles. One coordinator should know which group is missing and which journey is affected. Agree an update channel and limit shared data to pickup needs.
Flights scheduled close together may produce very different exit times. Decide whether early arrivals should wait or leave and request alternative quotes if useful. A Sprinter hire is not automatically a continuous shuttle between terminals; stops, waiting and duration need to be agreed.
Describe luggage and work equipment before selecting a vehicle. Exact capacity depends on the configuration confirmed by the team, not the Sprinter name alone. Plan return subgroups too: participants may leave on different flights even if they arrived together.

Access, times, tickets and additional services must be checked with the relevant organizers or venues. They are not included in transport by default.
