Booking a driver for an executive: a practical assistant’s brief

When the booker is not the traveler, a clear brief matters. Separate itinerary details, contacts and required approvals.

Maintain one current itinerary

Keep full addresses, required arrival times and travel references in one dated itinerary. Identify priorities when meetings conflict. Calendar invitations may omit an entrance or host contact; add these details before sharing. Make each revision distinguishable from the previous version.

Separate traveler and booking contacts

State who can approve an extension, receive a quote or change the route. Provide a suitable pickup contact without sharing unnecessary personal data. Include accompanying guests in passenger and luggage counts. This avoids contacting the wrong person when a quick decision is needed.

Confirm the agreed scope

Request a proposal separating journeys, retained time and change conditions. Discuss business invoicing requirements with the team rather than assuming an automatic corporate account or payment term. Give the traveler a short final instruction containing pickup time, location and contact.
