Check the airline’s instructions for the exact flight. Departure, check-in and boarding deadlines are different milestones. Tell the team when you must reach the terminal. The proposed pickup should include driving time and a suitable buffer, without assuming early roads are always clear.
Ask how to return keys and settle hotel charges at that hour. Pack in advance and confirm which entrance will be open. Discuss breakfast directly with the hotel; a takeaway option is not automatically included in your stay or transfer.
Set a time to be ready at the entrance, not simply a wake-up time. For several rooms, nominate one coordinator. Report flight changes promptly and obtain confirmation of the revised pickup. Sending a new time does not automatically mean the change has been accepted.
